Terms and Conditions for use of the PEDMIS

When you register on the EDMIS (Management Information System for B.Sc. in Plantation Management External Degree Programme), you must confirm that you accept these Terms and Conditions.
Board of Study of the B.Sc. in Plantation Management External Degree Programme, Faculty of Agriculture and Plantation Management, Wayamba University of Sri Lanka reserve the right to change these terms and conditions and will publish a revised version on this page, at which point the revised Terms and Conditions apply. Your continued use of the system will be taken as acceptance of the revised Terms and Conditions. Read and understand each item carefully

1. General

1.1 Definitions

‘FAPM’ is the Faculty of Agriculture and Plantation Management.
‘WUSL’ is the Wayamba University of Sri Lanka.
‘EDPM’ is the External Degree in Plantation Management also known as B.Sc. in Plantation Management External Degree Programme.
‘BOS’ is the Board of Study of EDPM.
‘PEDMIS’ is the EDPM Management Information System, also known as ‘the system’.
‘The service’ is the service provided by FAPM through the PEDMIS.
‘User’ is an individual who uses the system.
‘Dean’ is the Chief Administrative personal of the Faculty of Agriculture and Plantation Management.
‘Director EDPM’ is the Chief Administrative personal of the EDPM and Chairperson of the BOS of EDPM.
‘System Administrator’ is the highest level user role of PEDMIS

1.2 What these Terms and Conditions cover?

These Terms and Conditions let you know what constitutes legal use of the system. You must follow all our instructions while using our this system. The Laws of WUSL govern these Terms and Conditions. Use and access of the PEDMIS are subjected to these Terms and Conditions. You must tick the box on the log-in screen to agree to these Terms and Conditions before using the PEDMIS.

1.3 Changes to these Terms and Conditions

BOS of EDPM reserve the right to change these Terms and Conditions and will publish a revised version on the PEDMIS Term and Condition page. Your continued use of the system will be taken as acceptance of the revisedTerms and Conditions.

1.4 System modification

The BOS of EDPM assumes no responsibility or liability arising from any error or omission or from the use of any information contained in the PEDMIS.
We reserve the right to suspend access to the PEDMIS at any time in order to carryout routine maintenance and upgrades or to change any part of the site. We will use notifications when this is going to happen. We will not be liable for any losses, costs, claims or damages arising from the unavailability of the PEDMIS. BOS of EDPM does not warrant that the PEDMIS is compatible with your computer equipment or that the site or its server is free of errors, viruses or Trojan Horses or other such destructive features and BOS of EDPM is not liable for any damages that you may suffer as a result of using the PEDMIS. You use the PEDMIS at your own risk.

2. Use of the system

2.1 Access to the system

BOS of EDPM owns the rights to use the software on which the system is built. You must only view and use those parts of the system to which you have been given access. We reserve the right to stop your access to the system (or parts of it) without notice or liability.

2.2 Your use of the system

You must not upload, distribute or publish on the system any material that:
is pornographic in content;
is part of criminal or terrorist activities;
promotes or encourages racism or intolerance;
is illegal;
is untruthful;
is defamatory, offensive or abusive;
may bring BOS of EDPM, the FAPM or the WUSL into disrepute;
or is known to be infected with a virus, worm, Trojan horse, trap-door program or malicious code.

3. Data Protection

BOS of EDPM complies with the requirements of the General Data Protection Regulation, and is committed to upholding the data protection principles and your data subject rights.
BOS of EDPM is based at the WUSL . WUSL is part of the
University Grant Commission (UGC) of Sri Lanka which is funded through the Ministry of Higher Education (MoHE) of Sri Lanka. For the purposes of data protection the MoHE is the Controller; the WUSL is the Processor.
We process your data in order to perform a task in the public interest.

3.1 Maintenance of data

You are responsible for maintaining your personal information, including contact details, on the system except your registration number or index no.

3.2 Use of data

FAPM uses personal data submitted by PEDMIS users for purposes associated with the application and award processes for academic activities.
The following is a list of the possible uses for your data.

Personal data may be used in relation to:

the registration of your application;
the operation of grants processing and management information systems;
the acquisition of UGC and/or international peer reviewer comments on proposals and reports;
the preparation of materials to use by reviewers, experts, referees and review panels;
your review of proposals and reports;
your response to reviewer comments (if you are an applicant);
payments made to your course;
research purpose;
email alerts and bulletins

3.3 Disclosure of data

BOS of EDPM will make the project costs and details of all contracts awarded available on its website. We may also publish material and information about successful applications from the PEDMIS on our website or in printed form or via email.
In order to ensure that our systems are operating effectively it may on occasion be necessary to transfer your information within WUSL. This is for the purposes of testing and development of the system.

3.4 Exercising your data subject rights

You have certain rights (data subject rights) under the new data protection legislation;

these are the:

Right to be informed
Right of access
Right to restrict processing
Right to rectification
Rights related to automatic decision making

4. Intellectual property rights

You must ensure that any relevant intellectual property (IP) that you submit through the PEDMIS has been identified and that permission to use this IP has been granted by the owners.
You must not reproduce, distribute, transmit modify, adapt, display (including adaptations/displays such as by "framing") the contents, of all or any part, of the system without our prior written permission, with the exception of using the system through the normal means provided by FAPM.

5. Password security

You must take all reasonable steps to protect and keep your PEDMIS user name and password confidential. In the event that you suspect any unauthorized use of your EDMIS user name and password you must immediately inform to System Administrator at admin.edmis@wyb.ac.lk Sharing your PEDMIS user name and password with any other party is strictly prohibited.

Application Terms and Conditions

The PEDMIS requires applicants and contributors to confirm agreement of the relevant Terms and Conditions of their role in supporting or submitting an application. The Terms and Conditions pertaining to the roles are shown below.

Director

In confirming your role as Director in this application you confirm that the information given in this form is complete and correct and that you take full responsibility for the accuracy of this submission. You shall be actively engaged in, and in day to day control of the system. You understand that data protection rights of all other users shall not be manipulated, erased, altered or adding misleading information in the PEDMIS. This is the second top level role of this MIS and this role cannot override the privileges of System Administrator.

Academic Coordinator/Administrative Coordinator/Financial Coordinator

In confirming your role in this application you are stating that you have checked the financial or administrative details of this degree program.You shall be actively engaged in, and in day to day control of the system.You shall be actively engaged in, and in day to day control of the system. You understand that data protection rights of all other users shall not be manipulated, erased, altered or adding misleading information in the PEDMIS. This is the third top level role of this MIS and this role cannot override the privileges of System Administrator or Director.

Lecturer/Teaching Support/Technical Support

In confirming your role in this application you are stating that you have checked the academic, examination, attendance and scheduling details of this degree program.You shall be actively engaged in, and in day to day control of the system limit to above mention areas.You understand that data protection rights of all other users shall not be manipulated, erased, altered or adding misleading information in the PEDMIS. This is the fourth level role of this MIS and this role cannot override the privileges of above top level user roles.

Student

In confirming your role in this application you are stating that you have checked your academic, examination, attendance and scheduling details of this degree program which is only belongs to you.You shall be actively engaged in, and in day to day activities except the control of the system. You understand that data protection rights of all other users shall not be manipulated, erased, altered or adding misleading information in the PEDMIS. This is the lovest level role of this MIS and this role cannot override the privileges all other roles own.
